How Keolis Canada Automates Maintenance Data and Reporting

Overview:

See how Keolis Canada uses Cetaris to streamline maintenance processes, automate the flow of data, and gain greater visibility into its public transit maintenance operations.

About Keolis Canada

Keolis Canada is a leader in mobility services that operates primarily in public transit, providing transit and coach services. Supporting those operations requires the company to effectively manage large amounts of maintenance information and make that data accessible to different teams, clients, and business systems.

Sean Evans, Maintenance Program Manager at Keolis Canada, has been using Cetaris for approximately six years. As both the company’s Cetaris administrator and subject matter expert, he has a firsthand view into how maintenance data moves throughout the organization.

Turning Maintenance Data into Useful Insights

For Keolis Canada, collecting maintenance data is only part of the task. The company also needs to turn that information into a clear understanding of its maintenance operations and how it is performing for clients and customers.

Cetaris gives Sean Evans the reporting tools to put that data to work. He uses work order summaries, costing information, and parts costing reports in his daily reporting. To investigate specific business questions, he exports data from Cetaris and analyzes it in more detail.

“It’s the amount of data that we can pull from it,” Sean explained, “That tells us what’s going on and how we’re doing.”

That visibility helps Keolis Canada better understand its maintenance operation and how the company is performing from the perspective of its clients and customers.

Streamlining Hundreds of Work Orders a Day

Moving maintenance information among systems and departments was once a cumbersome process for Keolis Canada, involving spreadsheets and other manual methods. Sean estimates that Keolis Canada passes approximately 200 to 500 work orders to BC Transit each day, making efficient data transfers especially important.

Automation with Cetaris provides the solution: instead of relying on manual transfers, maintenance data flows automatically into other areas of the business, including finance. Sean explains that information moves overnight, so the teams that need it have it available the next morning.

“It just makes everything much more smooth and much more convenient and quick,” Sean added.

Supporting Keolis Canada Through Change

As Keolis Canada’s needs have evolved, its use of Cetaris has evolved with them. Approximately a year and a half before the interview, the company moved to its own Cetaris instance. Sean described the process as “seamless,” noting there were no significant issues.

The transition also expanded his responsibilities from Cetaris subject matter expert to administrator, requiring him to quickly become familiar with more of the database and system. Throughout that process, he says the support from Cetaris stood out.

“The amount of support we get is fantastic,” he said.

More importantly, Sean doesn’t view the relationship simply as one between a software provider and client. “I don’t even think of it like a client relationship or customer relationship,” Sean expanded, “It’s more a partnership.”

For Keolis Canada, that partnership combines technology with a team focused on helping its maintenance operation succeed. As Sean put it, the Cetaris team is there “wanting to make sure that we can succeed and that the product works the way it needs to work.”
